REFLECTOR Terms of Service

§ 1. General Provisions

1.1. These Terms of Service (hereinafter: “Terms”) govern the provision of electronic services through the REFLECTOR website, available at tryreflector.com (hereinafter: “Service”).

1.2. The owner and operator of the Service is the Foundation for the Promotion of Research on Smell and AI, registered at Jasionna, 99-417 Bolimów, Poland, KRS: 0001201057, NIP: 8361891220, REGON: 543082380 (hereinafter: “Foundation” or “Operator”).

1.3. Sales, invoicing, and payment processing in the Service are carried out on behalf of the Foundation by ULhub sp. z o.o., registered at ul. Pamiątkowa 2/18, 61-512 Poznań, Poland, NIP: 7831935926, REGON: 542561523 (hereinafter: “ULhub”).

1.5. By using the Service, you agree to these Terms and the Privacy Policy.

§ 2. Definitions

Service — the REFLECTOR website at tryreflector.com, including all subpages and features.

User — a natural person with full legal capacity who uses the Service.

Account — an individual User account created through registration.

REFLECTOR Chatbot — an AI-powered tool supporting conscious decision-making by identifying cognitive biases, manipulation techniques, and heuristics.

Refleksy — the Service's internal usage unit that determines the scope of available features. Each interaction with the Chatbot consumes a certain number of Refleksy.

Plan — a subscription tier that defines the monthly Refleksy allowance, available modules, and additional features.

Steffsy — a loyalty currency earned through activity in the Service, exchangeable for Refleksy.

§ 3. Types and Scope of Services

3.1. The Service provides a tool supporting conscious decision-making through behavioral economics-based analysis, including identification of cognitive biases, persuasion techniques, and mental heuristics.

3.2. The Service offers the following modules:

  • Decision Analysis — identifying potential cognitive traps in the decision-making process;
  • Communication Analysis — detecting manipulation and persuasion techniques in messages, emails, and documents;
  • Scenario Simulation — testing alternative decision variants;
  • Negotiation & Argumentation — support in preparing and analyzing arguments;
  • Ad Audit — analyzing advertising messages for influence techniques.

3.3. The Service also offers:

  • Resilience Meter — an interactive quiz diagnosing susceptibility to cognitive biases;
  • Heuristic Profile — a personalized vulnerability profile based on interaction history;
  • Vulnerability Database — an encyclopedia of 156 cognitive biases with examples;
  • Educational Module — behavioral economics learning materials.

3.4. The Service supports over 100 languages. The interface is available in Polish and English.

§ 4. Subscription Plans

4.1. The Service offers the following Plans:

4.2. Unused monthly Refleksy do not carry over to the next billing period. Top-up Refleksy do not expire.

4.3. A detailed description of features available under each Plan can be found at tryreflector.com/pakiety.

4.4. The Operator reserves the right to modify Plan contents, including the number of Refleksy allocated, with 30 days' prior notice.

§ 5. Registration and Account

5.1. Registration is voluntary and free of charge.

5.2. Registration requires providing an email address and creating a password, or authenticating via a Google account (Google SSO).

5.3. The email address provided during registration must be verified via a confirmation link. For Google SSO registration, verification is automatic.

5.4. The User undertakes to provide accurate information and to protect their authentication credentials from third-party access.

5.5. Each Account may only be assigned to one natural person. Sharing Account credentials with third parties is prohibited.

5.6. The User may request Account deletion at any time by contacting the Operator at [email protected]. Account deletion results in permanent removal of User data, subject to legal retention obligations.

§ 6. Guest Access (without registration)

6.1. The Service allows limited use of the Chatbot without registration (guest mode).

6.2. Guest mode is limited to 3 conversations of up to 10 messages each.

6.3. Conversation data from guest sessions is not permanently stored and may be deleted at any time.

§ 7. Payments and Subscription

7.1. Payments for subscription Plans and top-ups are processed through Stripe. The Operator does not store payment card data.

7.2. The entity conducting sales and issuing invoices is ULhub sp. z o.o. (NIP: 7831935926), acting on behalf of the Foundation for the Promotion of Research on Smell and AI.

7.3. ULhub sp. z o.o. is exempt from VAT pursuant to Art. 113(1) of the Polish Act on Goods and Services Tax of 11 March 2004. Prices shown in the Service are final (VAT rate: exempt).

7.4. Upon request, a VAT invoice with “exempt” rate is issued. The User may provide invoicing details (including tax ID) in Account settings or during the purchase process.

7.5. Subscriptions are automatically renewed on a monthly basis. The User may cancel at any time. Cancellation prevents the next charge; Plan access remains active until the end of the paid billing period.

7.6. Refleksy top-ups are one-time payments and are not subject to automatic renewal.

7.7. The Operator reserves the right to change prices with 30 days' prior notice. Price changes do not affect active, paid subscription periods.

§ 8. Right of Withdrawal

8.1. Consumer Users have the right to withdraw from a distance contract within 14 days without giving a reason, subject to Section 8.2.

8.2. In accordance with Polish consumer protection law (Art. 38(13) of the Act of 30 May 2014 on Consumer Rights), the right of withdrawal does not apply to contracts for the supply of digital content not supplied on a tangible medium if performance has begun with the consumer's prior express consent and after informing them of the loss of the right of withdrawal.

8.3. By activating a paid Plan, the User consents to the immediate commencement of the digital service and acknowledges the loss of the right of withdrawal with respect to Refleksy already consumed.

§ 9. Rules of Use

9.1. The User undertakes to use the Service in accordance with applicable law, good practices, and these Terms.

9.2. The following are specifically prohibited:

  • using the Service for illegal purposes;
  • taking actions that may disrupt the proper functioning of the Service;
  • automated content extraction (scraping, crawling) without the Operator's written consent;
  • sharing login credentials with third parties;
  • attempting to circumvent usage-limiting mechanisms (Refleksy limits, security features).

9.3. The Operator reserves the right to suspend or delete an Account in case of Terms violation, after first requesting the User to cease the infringement.

§ 10. Nature of Information — Disclaimer

10.1. REFLECTOR is a reflection-support tool and does not constitute legal, medical, financial, psychological, or any other professional advice.

10.2. Content generated by the Chatbot is purely educational and illustrative. It should not be treated as the sole basis for important life, professional, or financial decisions.

10.3. The User bears full responsibility for decisions made based on information obtained from the Service.

10.4. Consultation with an appropriate specialist (lawyer, doctor, psychologist, financial advisor, etc.) is recommended for matters requiring professional expertise.

10.5. Chatbot responses are generated by an AI model and may contain inaccuracies or errors. The Operator does not guarantee the correctness, completeness, or timeliness of generated content.

§ 11. Operator Liability

11.1. The Operator makes every effort to ensure the Service operates correctly and is continuously available, but does not guarantee uninterrupted access.

11.2. The Operator shall not be liable for:

  • decisions made by the User based on content generated by the Service;
  • service interruptions due to technical reasons, maintenance, or force majeure;
  • damages resulting from improper use of the Service by the User;
  • actions of third parties, including the payment processor.

11.3. The Operator's liability to the User is limited to the amount of fees actually paid by the User in the 12 months immediately preceding the event giving rise to the claim.

§ 12. Intellectual Property

12.1. All rights to the Service, including copyrights to the source code, interface, cognitive bias database, educational materials, and graphics, belong to the Foundation.

12.2. The User retains full rights to content entered into the Chatbot (queries, situation descriptions).

12.3. The User grants the Operator a non-exclusive, royalty-free license to use anonymized interaction data for the purpose of improving service quality, conducting scientific research, and statistical analysis — exclusively in anonymized form that does not allow User identification.

12.4. Copying, distributing, or modifying Service content without the Operator's prior written consent is prohibited.

§ 13. Personal Data Protection

13.1. The data controller for Users' personal data is the Foundation for the Promotion of Research on Smell and AI.

13.2. Detailed information regarding personal data processing, including legal bases, processing purposes, User rights, and cookie information, is available in the Privacy Policy.

13.3. ULhub sp. z o.o., as the entity handling payments and invoicing, processes Users' personal data on the basis of a data processing agreement concluded with the Foundation.

§ 14. Complaints

14.1. Complaints should be submitted electronically to: [email protected].

14.2. A complaint should include: User identification data (Account email), a description of the issue, and the expected resolution.

14.3. The Operator processes complaints within 14 business days of receipt and informs the User of the outcome electronically.

14.4. Consumer Users have the right to use out-of-court complaint resolution mechanisms, including the ODR platform at ec.europa.eu/consumers/odr.

§ 15. Changes to Terms

15.1. The Operator reserves the right to amend these Terms.

15.2. Account holders will be notified of any changes by email at least 14 days before the changes take effect.

15.3. A User who does not accept the changes may terminate the agreement (delete their Account) before the effective date of the changes.

15.4. Continued use of the Service after changes take effect constitutes acceptance.

§ 16. Final Provisions

16.1. Polish law applies to matters not regulated by these Terms, in particular the Civil Code, the Act on Providing Electronic Services, and the Consumer Rights Act.

16.2. Disputes between the Operator and a non-consumer User shall be resolved by the court having jurisdiction over the Foundation's registered office.

16.3. Disputes involving consumers are resolved in accordance with the rules on jurisdiction based on the consumer's place of residence.

16.4. These Terms come into force on April 6, 2026.
